The quiet knowledge layer that captures your institutional IP — and makes it instantly accessible to everyone who needs it. Across the storage and project tools your team already uses.

Projectbrain is a lens, not a vault. We index the systems your project information already lives in, pull out the people, decisions and dates — and let your team interrogate the job the way they wish they could.
Source content stays the source of truth. We hold short references and notes that point back to the original — never the full files.
OAuth in to your information sources — Outlook, Gmail, Procore, Xero — and your storage — Google Drive, OneDrive, SharePoint, Dropbox. Per-project folder scoping. Org-wide or per-user, your call. From the moment you connect a source, we backfill 90 days and watch what arrives.
Who said what, when, about which item. Plain-English summaries stitched into one searchable knowledge layer. A graph of people, drawings, RFIs and variations sits on top. Inherits your existing access rules.
Type or speak. Get an answer with citations to the original email, document or RFI — never paraphrased away from its source. Reply, forward or open in the original tool in one click.
We connect to two kinds of system — the storage where your files sit, and the information sources where decisions actually get made. Connect what you have; Projectbrain works with one or all of them.
Tokens encrypted at rest, per-source scope, inherits your existing access rules. Disconnect any time; the index for that source is purged within an hour.
We don't move your data. We don't store your files. We read what's already in your tools, build an index that points back to the source, and let your team query it on demand.
We keep the index that lets us find things — short references and notes, not copies of your documents. The original email, drawing or invoice stays in the tool it came from. Delete a project and the index goes with it.
Hosting, storage and AI processing all happen in Australia, inside a Sydney-region cloud. The AI never trains on your data and auto-discards it the moment the request finishes. No cross-border transfer in the answer pipeline.
If you can't see the RFP in Procore today, neither can the chat. Confidentiality and access stay exactly where your team already set them. Every query filters by org_id at the data layer.
OAuth refresh tokens encrypted at rest under a key you can rotate. Signed handshakes on every OAuth connection. Disconnect a source and its index is purged within the hour.
The same fragmentation problem exists on both sides of every project. Builders trying to remember what they committed to. Clients trying to hold them to it. Same emails, RFIs and documents — different vantage points. Projectbrain works for both.
What's outstanding from BlueLine — with evidence? Every commitment pulled from email threads, alongside what's been delivered against it.
Every commitment from the builder, every conditional response from the engineer, every variation request — cited and dated. The substantiation behind a claim, ready before the meeting.
Match every approved variation to a Xero invoice. Build the cited trail an ISO surveillance audit — or a defects-liability dispute — actually needs, from whichever side of the contract you're on.
Builder-side: four projects, programme slippage, variation exposure. Client-side: every asset in delivery, every commitment outstanding across the portfolio. A new starter has the full context in ten minutes, not three weeks.
Projectbrain doesn't replace your existing tools. It connects them. A vertical AI memory layer that reads what you already have, indexes what matters, and lets your team query across all of it.
Projectbrain is a vertical AI memory layer, not another tool to manage. It reads what you already have, indexes what matters, and lets your team query across all of it.

Every question counts as one or more “question units.” The vast majority — quick lookups, status checks, recall — count as one unit each. Complex synthesis across many emails and documents may count as 2–4.
| Question | Example | Units |
|---|---|---|
| Quick lookup | “When did Tony last email about FRL?” | 1 |
| Medium | “Summarise this month's compliance issues.” | 2 |
| Heavy | “Reconcile every variation against Xero invoices.” | 4 |
If you go over your monthly allowance, additional units are charged at $0.05 each (Company tier: $0.04, Enterprise: $0.03). Admins can disable overage charges entirely from billing settings — users see a polite “limit reached” message instead.

Private beta is open to a small number of Australian construction and development teams. Builder-side or client-side, we'd love to talk.
